Create workplace contracts in Core UI

As a lease administrator or manager, you can create workplace contracts and also add assets, terms and conditions, contract locations, and documents to a contract.

Before you begin

Role required: sn_wsd_la.manager or sn_wsd_la.admin

Procedure

1. Navigate to All > Workplace Lease Administration > Workplace Contracts.

2. Select New.

3. In the Contract Model field, select Lease.

4. In the Terms and conditions section, specify the legal information in the contract.

5. On the form, fill in the rest of the fields.

6. Right-click the form header and select Save.

7. Add contract services, contract locations, assets, or documents to the contract.

   • Save and exit the contract or submit it for review.

   • To save and exit the contract, select Update.

   • To send a notification to the approver, select Submit for Review.

8. Add a workplace contract service to a contract in Core UI
   Workplace contract services are the common services offered as part of the lease contract. You can add and track the services along with their associated costs.

9. Add a workplace contract location in Core UI
   Add a location that is covered by the contract to a workplace contract.
10. Add assets to a workplace contract in Core UI
    Add assets to a workplace contract, including software licenses, to specify what the contract legally covers.
11. Add workplace contract clauses in Core UI
    Add workplace contract clauses, including insurance clause, parking clause, warranty clauses to store the lease contract clauses.
12. Add workplace contract options in Core UI
    Add workplace contract options such as option to renew, option to sub lease, option to terminate to store the lease contract options.
13. Add workplace contract responsibilities in Core UI
    Add workplace responsibilities to indicate who (landlord or tenant) is responsible for different activities such as lawn maintenance, painting, repairing.
14. Add and build contract terms and conditions in Core UI
    Add and build terms and condition when a contract is in the Awaiting Review, Rejected, or Renewal Rejected substate.
15. Add a document to a workplace contract in Core UI
    Add documents to the workplace contract to maintain a record of all relevant documents and different versions of those documents.
