Safety inspections and audits

With Health and Safety Risk Management, safety teams can schedule, assign, and conduct workplace safety inspections and audits of particular activities, processes, or areas at their establishments.

Safety inspections and audits within the Health and Safety Workspace enhance the efficiency, accuracy, and consistency of safety inspections and audits across your organization. The objective is to support conformance with regulatory standards while reducing the risks of workplace accidents.

Safety inspections and audits capabilities

The safety inspections and audits feature provides the following capabilities:

  • Build and manage safety inspections and audits
    • Use smart assessment templates available with the application or build new ones with the Smart Assessment Engine. For more information, see Smart assessment template designer.
    • Use available surveys or design new ones with the Survey designer. For more information, see Survey designer.
  • Schedule inspections and audits

    Schedule inspections and audits to be completed at regular intervals with the Inspection Scheduler and Audit Scheduler.

  • Complete inspections and audits

    • Fill out smart assessment questionnaires via mobile or Health and Safety Workspace. When online, you can partially save a smart assessment to finish it later, or to reassign it to another agent to complete the remaining assessment.
    • Conduct inspection and audit surveys through Employee Center or on mobile. Note: You can complete smart assessments and surveys offline using the Mobile Agent app. Any smart assessments or surveys completed offline automatically synchronize once an internet connection is established.   • Create actions and findings from smart assessments and surveys

    Add actions and findings for specific questions while completing smart assessments or surveys.

  • Maintain related documents

    Add documents enabling standards or regulatory documents to be used as a reference for audit findings.

  • Set up a safety inspection schedule
    Set up an inspection schedule to create a safety inspection at a future date, or to schedule recurring safety inspections, such as daily or weekly, or monthly at once.

  • Create and manage a safety inspection
    Create a safety inspection to manage your workplace inspection of a particular activity, process, or an area. Review the questionnaire responses and add findings, root cause analyses (RCA), and actions for the inspection.
  • Set up a safety audit schedule
    Create an audit schedule and define the top-level audit details and the recurrence, for example, monthly or bi-monthly.
  • Create and manage a safety audit
    Create a safety audit for a process or regulation with formalized assessment criteria, and record the information collected at each stage—before, during, and after the audit.
  • Complete a safety inspection or audit survey through Employee Center
    Complete a safety inspection or audit survey assigned to you through the Employee Center.
  • Add a finding and root cause analysis for a safety inspection
    Record a finding based on the survey results for a safety inspection and perform a root cause analysis (RCA) for it.
  • Add an action for a safety inspection or audit
    Add an action for each finding to address any issues or implement measures necessary to improve workplace safety. You can add multiple actions for an inspection or audit finding.
  • Add an action from survey response in safety inspection through Employee center
    Learn to add actions to the survey responses on a safety inspection or audit survey to access safety issues discovered during a safety walk.
  • Assign safety inspection to agents
    Multiple safety agents can be assigned to the same inspection record to enable a collaborative effort. While only one agent can be assigned at a time to a survey related to an inspection record, it allows clear ownership and maintains overall team coordination. This collaboration can be achieved from both Employee center and Health and Safety Workspace.
